Travel Relations LLC Privacy Policy & Terms of Service

UPDATED AS OF SEPTEMBER 23, 2026

Travel Relations LLC ("TR") and Virtual RoadShows (VRS) publish this Privacy Policy & Terms to explain how information you provide through this website and VRS events is collected and used. This policy does not apply to information gathered by other methods or controlled by other written agreements, except where those activities use the same TR/VRS records described here.

INFORMATION GATHERED

Virtual RoadShows (VRS) is an online travel event. By registering to attend and submitting your contact information, you are opting into the VRS and TR contact databases. The registration form does not contain separate opt-in or opt-out choices for individual TR services. Your profile (who you are, what you sell, and your interests) is used to make the event and follow-up more relevant.

By registering to attend, you are also opting into the Partner/Exhibitor contact database for that event. Your registration data is passed to the Partner/Exhibitor, together with analytics of who you spoke with and what you downloaded in their booth.

TR/VRS follows the United States CAN-SPAM Act, Canada's Anti-Spam Legislation (CASL), the EU/UK GDPR where it applies, and similar laws. Every email sent by TR/VRS includes an unsubscribe link in the footer. Complaints about TR/VRS: support@travelrelations.com.

Partner/Exhibitors who receive your information have their own practices. Complaints about a Partner/Exhibitor should be directed to that Partner/Exhibitor. Their emails should also include an unsubscribe link; if one does not, notify us at the address above.

HOW WE COLLECT INFORMATION

TR/VRS collects business contact information in a variety of ways:

  • When you register with VRS on this website.
  • When your information is already in a TR database and is displayed so you can review it. Original sources can include prior VRS events; training or rewards programs TR manages for suppliers; webinars or seminars; taREWARDS.com; InsiderTravelReport.com; and supplier travel-advisor databases hosted in taCONNECT. taCONNECT updates a supplier record only if you already exist in that supplier's secured account. An update is not used to insert you into a client database where you do not already appear.

Categories typically include name, job title, company, business email, business telephone, business address, country or state of business, industry segment or sales specialty, event activity (booth visits and downloads), and communication preferences.

USE OF PERSONAL INFORMATION

If you provide personal information, it is used to deliver the event and the services you opted into by registering. Uses include:

  • Operate the VRS event, pass your registration and booth analytics to the relevant Partner/Exhibitor, and follow up with event-related messages.
  • Add you as a "submitted" contact to TR Marketing Services and, where applicable, InsiderTravelReport (B2B travel news). TR may send targeted email and/or postal mail of promotions, surveys, or updates that match your professional profile, on behalf of advertisers and industry partners, and may contact you about educational, rewards, or other programs.
  • Operate and secure the website and databases, diagnose problems, measure aggregate traffic, comply with law, prevent fraud or misuse, and establish or defend legal claims.

You may unsubscribe at any time from Marketing Services promotional email and from InsiderTravelReport. All such emails include an opt-out link in the footer. List-specific unsubscribes, where offered, are honored. Contact support@travelrelations.com if a footer link fails.

Where GDPR or UK GDPR applies, we rely on one or more of: performance of a contract or pre-contract steps (event registration); compliance with a legal obligation; legitimate interests in running B2B events and keeping accurate industry records; and consent where we ask for it (including certain electronic marketing and non-essential cookies). You may withdraw consent at any time without affecting prior lawful processing.

We will not use submitted information for new purposes that are incompatible with this policy. If practices change in a material way, we will update this page and change the date above.

SHARING OF PERSONAL INFORMATION WITH THIRD PARTIES

TR/VRS does not rent mailing lists as a standalone product. Information may be disclosed:

  • To Partner/Exhibitors for the event you registered to attend, including booth analytics, as described above.
  • To service providers that process information for TR under contract (hosting, email delivery, analytics, and support). They may use it only to perform those services, not for their own unrelated marketing. Current core vendors are listed on the taCONNECT security notice.
  • When you register for an educational program, contest, event, virtual seminar or tradeshow, or other promotion sponsored by a third party, unless a different notice is posted for that promotion.
  • When required by law, legal process, or a good-faith belief that disclosure is necessary to investigate or prevent illegal activity, suspected fraud, threats to safety, or violations of these terms, or to establish or defend legal claims.
  • If TR/VRS is acquired by or merged with another company, as part of that transaction, with the successor required to use the information consistently with this policy where the law allows.
  • Limited professional details (email, company, job title, state or country of business) with trusted partners who deliver industry content likely to be relevant to your role. Those messages include an opt-out. Under some U.S. state laws this may be treated as a "sale" or "sharing." See rights below to opt out.

COOKIES

"Cookies" are small files stored by your browser. TR/VRS and service providers may use cookies and similar technologies to operate the site and event, remember progress, measure visits, diagnose problems, and understand which pages and booths are used. Some cookies are necessary. Optional analytics or advertising cookies are used only where permitted, including after consent where required in the EEA, UK, or Switzerland. You can refuse cookies in your browser; some features may not work as intended.

IP ADDRESSES

TR/VRS automatically receives and records server logs from your browser, including IP address, cookie identifiers, browser type, referring URL, and the page requested, to diagnose problems, administer the system, protect against abuse, review traffic in aggregate, and improve content.

RETENTION

Business contact and event records are kept as long as needed to run VRS and related TR services, honor opt-outs (suppression lists are retained), resolve disputes, and meet legal, tax, and accounting requirements. When no longer needed, records are deleted or de-identified, subject to backup cycles.

INTERNATIONAL TRANSFERS

TR is based in Southport, North Carolina, United States. Systems are hosted on Amazon Web Services in us-east (Virginia), United States. TR is not certified under the EU-U.S. Data Privacy Framework. Information may be processed in the United States. Where a transfer tool is required, TR relies on Standard Contractual Clauses and applicable UK/Swiss addenda.

YOUR PRIVACY RIGHTS

Depending on where you live, you may request access, correction, deletion, or a portable copy; object to or restrict certain processing; withdraw consent; and opt out of marketing. Use the unsubscribe link in any email footer or write support@travelrelations.com with the subject "Privacy Request."

Europe (EEA, UK, Switzerland): You may lodge a complaint with your supervisory authority. Canada: Withdraw consent to commercial electronic messages under CASL by unsubscribe or by contacting us.

YOUR CALIFORNIA AND OTHER U.S. STATE PRIVACY RIGHTS

This website is intended for business-to-business use. California and other state privacy laws can still apply to business contact information. California residents have CCPA/CPRA rights to know, delete, correct, and opt out of sale or sharing and certain targeted advertising. Residents of other states with similar laws may have comparable rights.

Email support@travelrelations.com with the subject "Your State Privacy Rights" or, for Shine the Light household-purpose requests, "Your California Privacy Rights." We will not discriminate against you for exercising privacy rights.

CHILDREN

This site and VRS events are directed to travel-industry professionals and are not intended for children under 16. We do not knowingly collect personal information from children.

DISCLAIMER

TR/VRS uses reasonable administrative, technical, and physical measures designed to protect personal information. No method of transmission or storage is completely secure. TR/VRS is not responsible for the independent acts of Partner/Exhibitors or other third parties that receive information as described here, except to the extent required by law. Third-party sites and ads have their own practices.

CHANGES TO THIS PRIVACY POLICY

TR/VRS may update this policy by posting a revised version and changing the "UPDATED AS OF" date. Where law requires additional notice or a fresh choice, we will provide it.

YOUR CONSENT TO THIS POLICY

By using this website you acknowledge this policy and the Terms below. Registering for a VRS event is the opt-in to the VRS/TR databases and to the Partner/Exhibitor list for that event; the form has no separate service toggles. After you register you may unsubscribe from TR/VRS emails. Mere website browsing is not treated as consent where CASL, GDPR, or cookie law requires a specific consent. If you do not agree, do not use the site or register.
